The MIT Plasma Science and Fusion Center (PSFC) is an internationally recognized facility at the forefront of plasma physics and fusion energy research. It is located on the main MIT campus in Cambridge MA and comprises a team of almost 200 top-tier students, scientists, and engineers jointly pursuing fusion research at national laboratory-like scale. The PSFC recently announced an accelerated pathway to fusion energy that is based on the development and demonstration of the world’s highest performing superconducting fusion magnets and the first net-energy fusion device: the SPARC tokamak. The PSFC has an opening for the position of Administrative Officer, responsible for the delivery of administrative services that support the effective operation of the PSFC, including grants management and financial oversight, personnel functions, space allocation and facilities management, administrative computer support, and library and electronic archives.

Manage the Center’s non-research accounts — allocation, discretionary, service centers, gift accounts. Allocate resources for the maintenance and upkeep of PSFC facilities. Implement annual performance and merit increase reviews for research, administrative and support staff.  Oversee proper accounting of exempt and hourly payrolls and quarterly certification of effort in SAP.

Act as liaison between the PSFC and central administrative units including VP for Research’s Office, MIT Human Resources, Office of Sponsored Programs, VP for Finance Office, Technology Licensing Office, and other MIT academic departments, labs and centers, representing the director and the PSFC’s interests in these interactions. 

Interpret MIT administrative policies and business practices for PSFC director and/or technical managers concerning personnel matters, accounting practices, procurement and other operational procedures.  Advise on promotion cases for staff, on personnel conduct and performance issues, intellectual property questions, preparation of collaboration agreements, of equipment loan agreements, export related issues, on compliance with sponsor, local, state and federal requirements. Manage employee rewards and recognition program, and promote staff development.

Prepare annual submissions for the Report to the President, PSFC allocation account rate request, NIMBUS budget submission, Outside Professional Activities and Conflict of Interest Report, CRSP space change and renovations request, rates submissions for service centers (computing; photocopiers), annual VP for Research budget planning meeting documents. 

REQUIRED:  Bachelor’s degree (master’s preferred); Seven years or more upper level management experience in a research environment required, including experience in fiscal, personnel and operational functions; strong fiscal, organizational, data and analytical skills. Proven record as a manager and a problem solver who is results oriented, collaborative, and strong on follow-through; excellent communication and interpersonal skills, diplomacy, flexibility and ability to prioritize multiple projects in a demanding fast paced environment; meticulous attention to detail; identify and recommend solutions to complex problems on aggressive schedules, and remain focused despite frequent interruptions. Experience with federal grants and/or financial administration experience in an academic research environment strongly preferred. Must be proficient in Excel and MS Office. Knowledge of SAP or similar business enterprise software packages and experience with relational databases such as Brio Query and/or Cognos a plus.  MIT experience highly desirable.
